Clever Technology has completed the new Edmonton & District Historical Society's website, which features the multi-city event management system for their annual Historic Festival.
EDHS has the tremendous task of organizing hundreds of events across northern Alberta for its annual Historic Festival. They wanted to find a way to distribute the workload of collecting, organizing and finally displaying the event information, as well as automating as much of the large brochure as possible. They also wanted to eliminate, as much as possible, the need to manually enter faxed and snail-mailed event forms that numbered in the hundreds.
Clever Technology proposed a highly customized event management system that would allow individual event managers to edit and update their events. Once entered, EDHS staff could edit and approve these entries so they would appear on the website's event calendar and search system. Once the approval process was complete for the year, EDHS staff would be able to generate comprehensive reports for the organizers and their events, sorting them into the format that they would appear in their brochure.
"I wanted to eliminate as much of the manual labor involved as possible," said Grant Shepert, lead developer for Clever Technology. "The volunteers spent the majority of their time manually managing their information, answering phone calls and typing in information that had been sent to them as hard copy. A customized website was the perfect solution for collecting and organizing this content."
EDHS began using the system before the site was even launched, and with the Festival now upon them found the system to be a great asset and time saver. They are all ready planning to more than double the number of contributing events for next year, knowing that the majority of their workload is now greatly automated and distributed.
